ARG Content Management Question

I have a question about content management for any of you that have written and successfully released a game.

A group of collaborators and I are working on developing a game. Currently we have all the various content organized in separate shared files in google docs (a general gameplay timeline overview, emails with emails, tweets with tweets, etc) As we go, we are building up an enormous amount of content and it's gtting pretty spread out. We were debating the merits of at some point (maybe just before release?) moving all this into a timeline based master document vs. keeping things organized where they are and plugging them in as they are needed.

Have any of you found a best practice for this type of thing? Is it mainly based on personal preference?
