group rates

I am able to at least get the parameters of what a hotel requires for people to qualify as a "group." We are just setting up a basic framework - we being me, bagsbee, joebrent, anthrax, sin and everyone else who wants to chime in.

We decided that the best way to approach ARGFest was to give people plenty of time to plan and to set up at least one, and possibly two, informal PM presentations, specific group get togethers We want to give people time to sight see, go to the theater, hang out in small groups, whatever they want to do.

We are off to a great start!

I'm confused. We seem to have two wikis...one here and another here. People are using both to say they'll attend, but their attendance is not being reported to the other wiki.

I'd prefer to only see one "official" wiki so that nobody gets overlooked. It doesn't matter to me which is used, just that the information is located in one place. This will make planning much easier for the Fest organizers & attendees. When a decision is reached, perhaps the first post in this thread can be updated to include a link to the wiki we should all be using.

Use the first one. ARGFestNYC.com should be considered the "official" site and definitive source of ARGFest info. There's only a wiki there at the moment, which rose has been updating furiously. Feel free to update the wiki with any info you may have, and please try to keep it neat Smile

I'm seriously considering the Holiday-Inn midtown, that's where we stayed in Vancouver and got such a great upgrade. It may not happen again but since I'm requesting a smoking room again, you never know Wink




Not sure about the H-I, rose's suggestion about the LaQuinta sounds like a better deal and we may have more luck with a bigger room.

I knew there was one, but i couldn't see it in the new section...now i know why Smile (can anyone be bothered moving my posts over?)

We are moving ahead on the ARGFest planning front.

1. I will be posting all of the group rates that I have been able to find by the end of the week - it is a bit of a challenge when the hotel sales people only work 9 to 5 and when I am not sure how many people will be here -but I promise to finish this by tomorrow.


2. Our list of PM attendees is still in formation but so far we have confirmed: Jane McG, Dave Sulborski and Dan Carver. Everyone that I have contacted- other than Sean Stewart who has family obligations that will prevent him attending - is enthusiastic about joining us and is checking their schedules, so I expect that list to grow. Dave is looking into getting copies of his book, which is in ebook format, to possibly sign for us. (And we have lots of home grown talent who will be there - I think all of the urban hunt PMs will be in attendance. And some of the Project MU PMs.)

3. As mentioned, we have access to several facilities to hold our PM meetings/brunch/ whatever events we finally decide upon. We will have lots of time for socializing (PMs and players) as well. None of these facilities are free, however, so we are moving into our next planning phase, which is to do some fundraising! We want to raise as much as we can to defer costs as much as possible.

Anyone who knows of any group who would be willing to help sponsor the event - please PM me, bagsbee, joebrent or Anthrax or post it to the wiki. Fundraising ideas are most welcome.

4. Our schedule is extremely flexible - if you have some preferences of what to do and when, post it here or on the wiki. We made a list of possible group outings. And we will keep it as flexible and simple as possible.

Planning this is so much fun! It is great to have a community help plan the community event!

Some people I've spoken to say they'd love to come to ARGFest, but they could use a roommate to help defray costs. If this describes your situation, we'd love to see you there, so please make use of the roommate finder page just added to the wiki.

Hotel Penn group rates

Hotel Penn

After extensive research this is the best deal I could find for us as a group. Because I don't know how many people are going to be here, the best thing is for us to use a hotel that allows us to specify a minimum number of people. Every other place I called required a minimum of 10 rooms. The Hotel Penn only requires a minimum of 10 people, which if people share, is a minimum of 5 rooms.

The Hotel Penn is very safe, has a busy lobby and is in a central location across from Penn Station. It has easy access to the subway and to cross-town buses. The Empire State building is down the street (as is Macy's if anyone cares.)

The Hotel Penn has 3 restaurants but no room service. The coffee shop is open 24 hours a day. The bar closes at 4am so you can have a last, very late drink, in the hotel. The bar is a good place to meet up and the restaurant may work out as a fine location for us to have a brunch. ( I have a couple of other options.)

Both sapagoo and joebrent give this place a satisfactory rating.

Also, they will give us group rates even before or after the main group arrives. So if anyone wants to stay during the week, you can get a weekday group rate (which is $129 plus tax for a single/double)

Here are the rates:

$140.00 plus tax for a single/double for the weekend (Friday and Saturday night)

$155.00 plus tax for a triple two double beds and a roll-away bed

$170.00 plus tax for a quad same set up - two double beds and a roll-away bed.

I know that for someone not from New York these rates seem expensive. But this is really the best place I could find that I felt comfortable recommending. And, as I said, we can get by with half as many rooms as other places require. (Note that these rooms are the Superior rooms which have been redecorated. The rooms you would get from on-line are not as nice.)

I told the group sales manager I would get back to her in April, so please post on the wiki if you are interested. Please post comments any other comments here or on the wiki as well.

Number of people
I know that it may seem early to make a commitment and we are flexible - but we need to get some ballpark idea of the number of people who will be here- the sooner the better. This includes locals who won't be staying in a hotel. Every place I call about getting group rates really needs to have some idea of how many people we will have. Imagine that.

Possible activity

Only the group "booze cruise" of New York Harbor I found - drinks and dancing no food- was able to quote a price without knowing the number in the group. The cost would be $24.00 per person with one free trip for every 15 people. bagsbee said he had a friend who plans these so maybe he can get I better deal. I am starting to think it could be a fun Friday or Saturday night event. The other night we will just have a big fun bash.

One more possible cheap place
Two of the seminaries located here in the city offer dorm rooms of some kind over the summer. I have calls into them and will post that information as soon as I have it.

There have got to be better deals than that; for example, just a quick search on hotwire gives a 3-star hotel for $99/night for those two nights (link), and a 3.5-star one for $144/night (link). I think Pennsylvania Hotel is generally rated at 2 stars. I'm not sure how many beds/room there are, though.

Another place I would recommend looking into is Hotel Novotel. It's not cheap, but the cool thing about it is that their rooms (I'm not sure if it's "some rooms" or "all rooms") have a fold-out couch. For example, here is a room for an average rate of $172 for, basically, 4 people - it *says* that the occupancy is for 2 adults and 2 children, but, you know... not that I would ever advocate doing anything against the rules Rolling Eyes

Thanks for those links Yanka.

I am willing to keep looking, but this is the best that I found and the committee agreed with this choice. I have the name of a travel agent someone recommended this weekend. Perhaps she will be able to help. And joe has his union discount.

As I said, I was looking for group rates and was limited because I didn't feel confident in saying we could fill a minimum of 10 rooms for 2 nights. So far most of the people I know are definitely going to attend have either found a hotel on their own, live nearby or are staying with joe.

Also, I only wanted to recommend a place I knew would be safe andconvenient for traveling around the city.

If people would rather make individual plans as they find that is less expensive, that is fine too. We don't have to do a group rate. Whatever works best. Very Happy
