No prob, angelo.

All right. It's official. I am available for axon-coordinating beginning at noon on Tuesday, except for about 6:20-6:35, when I will be getting my axon.

I personally would suggest this to keep operations fairly streamlined:

Person #1: Receives calls from those who have just had a live conversation with Melissa. Posts new passphrase/whatever to necessary places on the internet. Calls person #2 each time the passphrase is changed.

Person #2: Receives calls from people at or en route to their axons and relays to them the most recent pass phrase.

Person #3: Receives and posts digital images. Does anyone have the capability to *email* pics received on their phone? I have a camera phone but no way to do anything with the pictures except send them to someone else's phone. So I can take the pic, but I'll need to send it to someone else in order to get it onto the internet.

I'm willing to be person #1 or #2 on Tuesday afternoon (I think for the 15 minutes or so that I'll be gone getting my axon the other person can probably handle my duties).

Please note: I will be computerless from sundown tonight to sundown Saturday, so if you post it before 6:00 I can respond today, otherwise I won't be responding until Saturday evening.

I'd be more then willing to be person #1 or #2 until about 2:00pm PDT. At 2:00pm I leave work, grab an axon, then rush to my worship gig till 7:00pm PDT or so.

So I can cover the morning shift if Phaedra want's to cover the afternoon. Now we just need two more people that are willing to do the same for the other unit.

I can receive calls from those who have had live calls. Also if people give me their cell numbers I can use my company's call system to broadcast the message to the next 25-50 axons or so.

So people who want me to call them when their axon comes up go here:

5. any other information you deem pertinent (if you have had a call before and whatnot)

If your going for multiple axons just list them down.

Remember, for a good chunk of the day we had 2-3 passphrases live at the same time before they started expiring. So the status report at any one time during the day will be a LIST of live passphrases, from oldest to newest.

I'm trying to think of ways other people can help coordinate throughout the day. Especially if they dont have access to an axon but would like to help.

So now is your chance if you've been dying to get in on some of the action but have no chance to directly answer phones.

I'm sure people who have access to a phone and internet at the same time would be preferable. That way you could take incoming calls and email, pm, or chat the information around to someone who can deliver it.

Anyone have any ideas on the best way to go about this? I have some of my own but I feel like I am taking over and it seems a bit selfish.

(Speaking as someone who did not participate in last weeks passphrases since I live in England.)

Would it be simpler for someone to set up their cell phone voicemail with the passphrases? You could leave your cell phone off (or do not answer any numbers you do not recognize), and everyone would have instant access to the passphrases throughout the day without you having to answer the phone repeatedly. And multiple people would be able to check simultaneously. All the person with the cell phone would have to do is keep the voice mail up to date.

Excellent point. And yikes another data point to keep updating during the day (speaking from experience it gets dizzying when lots of things are happening and you are trying to keep updating a couple different places). Nonetheless for those who need to get in touch a fallback of getting your voicemail message is probably a good idea.

I would be willing to do all of the tasks (i do nothing at work anyway)

I will be able to until about 11:45, and then again at 1:00. I also have hosting space we could use for pictures. email em to me, and I can post em to the site.

I also can set up a quick and dirty email list for people. if they give me phone carrier, and phone number, I can SMS the updated codes.

Let me know what I can do to help. I am more than willing.

I suppose we should start a time convention - everyone use PDT to be clear. Saryon, MadCow, Phaedra and others - work it out amongst yourselves. I think you should probably all have each other's contact information. Plan a basic setup to announce Monday with point people and backups and be prepared to improvise depending on what Melissa starts asking for in the live calls. The ability to receive and post pics from the road may be important. The ability to encrypt data into the photos may also be important (steganography! w00t!).

We can set up an Announcement (stays permanently at the top) in the Axon forum on Monday for this information and for updates.

I'm kinda worried about the possibility of having to send pictures files this next Tues. I see only two ways of getting picture data syncronized quickly to a lot of people from the field.

1. Camera phones that can email/IM picture files. Low res, but instantanious.

2. Regular digital camera and wifi laptop. Find a (hopefully free) wifi hotspot, have someone staying there, ready to upload files. Finding a hotspot in SF or a large urban area should be somewhat easy, but may be difficult for others.

3. Same thing as above, except using a bluetooth enabled phone. You could do this anywhere your phone gets service, but transfering large files will be VERY slow.

Any other suggestions for moving picture data quickly from the field?

Okay, I've been working with Mad Cow, and we have the rudiments of a plan.

We'll set up the following positions:

PASSPHRASE COORDINATOR (PC): This person will receive new passphrases from beekeepers who have just talked to Melissa. They will then notify the PASSPHRASE SUPPLIER and CHAT COORDINATOR and post the new phrase to a thread in the Forum.

PASSPHRASE SUPPLIER (PS): This individual will know the most recent passphrases and will be the person to call to find out what the newest passphrase is. They will also have the capability to call axon hunters (say, 5 minutes before their axon time) who have notified them ahead of time that they would like such a call and update them with the most current passphrases.

CHAT COORDINATOR (CC): This person will repeatedly broadcast the newest passphrases in #beekeepers and whatever other chat resources beekeepers use. Possibly multiple positions? I really don't know much about the chat resources.

FORUM WATCHER (FW): This person will monitor the forums, in case anyone for some reason posts the new passphrase in a random thread rather than calling in. If someone does, they will inform the PC.

And possibly...

BLOG COORDINATOR (BC): Someone to post updates to the blog and other related media?

GRAPHICS COORDINATOR (GC): This individual, someone who has a phone with email capabilities or that they can hook to a computer to transfer photos, will receive whatever photos Melissa wants from beekeepers camera phones (or email for those using digital cameras) and post them to the appropriate spots on the Internet. (Since we don't know the exact nature of what we're doing yet, I can't be more specific.)

NAVIGATOR (N): Someone who can take calls from beekeepers on the road and help guide them to payphones.

So far, we have the following positions filled:

PC: AM: Angelo; PM: Phaedra

PS: Mad Cow

CC: ?

FW: ?

BC: ?

GC: ?

N: ?

In order to allow more people to participate, we could divide the positions into shifts with the exception of PS (Mad Cow has unique telephone resources).

Also, Mad Cow suggested that people should attempt to do more than just answer Melissa's questions. This will be easier with a relay system to communicate what others have attempted.

If you know you're going to an axon after 12:00 on Tuesday, PM me and I will give you my cell phone number. If you get a live call, immediately afterward call me and inform me of the new passphrase, and I will post it and communicate it to the appropriate parties.

If you wish to receive a call from Mad Cow shortly before your axon time with the updated passcodes, PM him your name, cell phone number, and axon time. Or, PM him and ask for his number so that you can call him when you get to your axon and find out the most current passcodes.

If you may need help finding your axon, PM the Navigator when we get one (or multiple Navigators) and ask for their number.

Whoever volunteers as a CC will have to give me their number so I can update them immediately each time there's a new code. Same with the BC. I will give the FW my number so they can let me know if they find anything. The GC should probably give me their number and vice versa just so we can coordinate. If they want to keep their number more private, I can accept incoming photos and send them on to the GC.

Once again, multiple shifts would be nice, both because not that many people have the entire day free and because it will give more people a chance to participate.

Come on, troops! This time, we'll be ready! <bugle>

NOTE: I will be out of touch from sundown tonight (approximately 6:00 Central Time) until sundown tomorrow. However, I will be back Saturday evening, ready to coordinate.

EDIT: I just noticed the posts that cropped up while I was composing this. Saryon, would you be willing to be a GC? Set up an email list and hosting for the pictures?

It was kind of you to offer to do everything, but I think it's a good idea to get as many people as possible involved.

Do you have a phone that can receive pictures? Otherwise we need another GC to cover that, and someone to cover your position from 11:45 (wait, what time are you on?) through 1:00.

Blog? Or do you mean the wiki? The bee-log is moderated and thus somewhat lags real time stuff. But you could ask the firefly crowd to have a page that they will keep updated all day too (although this will be repetitive of what I hope the forum thread will do), and include that page link in your top level communications post. -- AD

Sounds about right to me. So now that I dont care if people send me spam because this is an alternate gmail account.
Send an email with your phone number, axon time, location and whatnot... also information regarding previous live calls.... blah blah to

I have a gmail filter setup so please put "Hunting" in the subject line.

Everyone who gets me their information will recieve a call on tuesday around 5-10 minutes before their scheduled call with any relavent information.

I'd be more than willing to do GC. I can also do BC and probably CC, I don't want to get too overloaded though. I don't have access to mIRC here at work, so I can't write a simple time based script Sad.

I don't have a phone capable of recieving pictures, however, whomever does can contact me, and I will set them up an FTP account for transfers, or can email them to me. I don't mind either way.

My axon is about 15-20 minutes away depending on traffic, and its at 12:18 PDT, so I said 11:45-1:00 just to be sure I get there and back, and also have time to eat Wink

I think teams should still be able to rely on their local axon coordination folks. This can save folks on the road from carrying around 15 phone numbers, esp. if there's a shift change while they are on the road. Let folks sort out locally how they will get information to the forum information collectors.

Updates could come direct to this structure, or they could call their buddy back at work who can speed the info on its way. Whatever works, as long as it is fast.


(Trying not to totally co-opt the working relationships of the teams on the ground.)

In my mind this is a very simple solution. Create small local teams/squads made up of two components:

1. Axon Hunters. These are the people in the field who are answering the phones.

2. Operators. The online Eyes and Ears of the Axon Hunters in the field. These people are sitting at a computer monitoring the forums or (idealy) in #beekeepers.

The Operators will notify the Axon Hunters when a relay code has changed and what it is, either by phone, voicemail, SMS, etc. The Axon Hunters will call the Operator in their team and relay new codes that they just gave Melissa, or check info that would otherwise need access to a computer (e.g. coords, maps, etc). The Operator will then post to the forum or IRC the new code.

Ideally you would only want one Operator per squad at a time. This will limit the confusion for Axon Hunters as to who to call, and limit trout in the forums and IRC. If more than one person can be Operator, block out times when each person will be the Operator.

A very simple solution. This worked for Team SF (not our official name yet Wink ) last week.

EDIT-I'm just taking what we did last week and throwing it out there as a suggestion. If you think it works for you, cool. If not, that's totally cool too. Razz
